You can view the users and/or groups already selected for a file by selecting the file and clicking the Acknowledgement button. You can also modify your selection by adding or removing users.
If you add new users or groups, those already selected will not receive a new notification. If you remove a user or group, the report will update accordingly, removing the related data.
Initially designed for business documents, the Acknowledgement tool has now been extended to intranet pages and news. This means you can request confirmation not only for documents stored in libraries but also for pages and internal communications. To do so, you need to:
Insert the Acknowledgement Pages component within the page or news article you’re interested in;
Select individual users or groups (you can modify the selection at any time by adding or removing users);
Publish or republish the page to make it available to your colleagues.
When accessing the page or news article, selected users will see a button prompting them to confirm they have read the content.
Instead, users who were not selected will see a message informing them that no confirmation is required.
The latest version of the Acknowledgement report introduces a more structured and dynamic approach to tracking document and content acknowledgements. Compared to the previous version, which featured a single table with basic details on individual user interactions, the new report provides:
A comprehensive summary page displaying an overview of all documents and pages with acknowledgment requests, including key metrics such as total users notified, percentage of acknowledgements, and document storage locations.
A detailed drill-through page that allows in-depth analysis of individual acknowledgements, including user-specific data (office location, job title, department), along with timestamps for email notifications and acknowledgment confirmations. This page also includes a visualization of acknowledgement trends over time and advanced filtering options.
