Videos is a web part that allows you to share updates, publish educational content, spread values and disseminate key information with short videos on your SharePoint intranet. Thanks to this feature, you can publish content that is useful for the entire company audience and engage colleagues in clearer and more direct communication. This web part collects videos from three different sources in one single area; specifically, you can share original content or videos from:
YouTube
Vimeo
SharePoint sites
Videos can be categorized and indexed in using personalized tags. This way, the intranet will show users the most relevant videos for their searches and work.
If your page is not already in edit mode, click on Edit at the top right of the page.
Hover your mouse above or below an existing web part. You will see a line with a circled +, like this: .
Click on it and, in the web part search box, enter Company Media to find and select the Videos web part, which is named IAI-Company Media.
The layout settings allows you to customize the appearance of your application by adjusting various layout settings.
By opening this first configuration, you will see the following options:
Do you want to hide the background? You can choose to hide or display the webpart background. The default setting is “No”. This means that, by default, the webpart is characterized by a white background. If you enable this option, the white card background will be completely removed, allowing the content appear directly on the page. As a result, the webpart will be transparent, showing either the selected background image or the chosen SharePoint page color.
Do you want to hide the background shadow? You can choose whether to show or hide the background shadow. The default setting is “No”. This means that, by default, the webpart is characterized by a subtle depth effect that can make the webpart stand out more against the rest of the page. If you enable this option, the shadow behind the background will be removed, giving the web part a flatter, cleaner look without any depth.
Select the type of background shadow If you decide to set the background shadow, a further configuration will appear and you can select the style from High Contrast, Light, or Dark options.
If you select High contrast, this option creates a strong, bold shadow effect that provides a high level of contrast between the background and the content.
By choosing the Light background shadow, it will create a soft and subtle effect, giving a more delicate and gentle depth to the background.
Finally, the Dark background shadow style provides a darker, more intense effect, adding depth and emphasizing the background even more.
Do you want to hide the title? Here you can select whether to show the webpart title or hide it. If set to visible, the web part title will appear on the left side.
Enter the application title Thanks to this configuration, you can customize the application title. If you keep it blank, SharePoint will show the default title “Company media” at the top left angle of the webpart.
In this section, you need to indicate the sources from which the web part will retrieve information.
In this section, you can decide to activate the autoplay feature, which is disabled by default.
You can create a custom icon that will be shown in the top left corner of the web part. In this section, you need to enter the URL of this picture, after having uploaded it to your intranet (see below).
To create the icon URL, follow these steps:
Upload the picture to the Site Assets folder in the Site contents (or any other folder on your intranet).
In the Sites Assets document library, select the picture.
Click on the Info icon at the top right of the screen.
Click on the Path icon to copy the URL of the icon.
The Videos web part looks like this:
In the top left corner of the application, you can see the custom icon you have chosen. As mentioned above, you need to upload this picture to your intranet and copy-paste its URL in the Image Settings section of the configuration panel.
There is also a search bar which allows you to quickly find a specific video.
When you select a video, you will see it in the central section of the web part. Below are the title, the release date and the description of the video.
By using tags, you can categorize your videos to highlight news, initiatives, global communications, colleague interviews and so on. To create video tags, follow these steps:
Click on the Settings icon on the top right of the page, then click on Site contents.
Select the Company Media Tags list.
To add a new tag, click on New. The following panel will appear. The Title field, which is marked with an asterisk, is mandatory.
Title: write the name of the tag.
For example: Awards, Corporate news, Interviews, Training courses, Webinars
Description: here you can enter a description, which is optional.
Tag Order: you can set the order in which the tags will be shown in the application. In this field, you need to enter a number to specify the position of the tag.
As mentioned above, videos are collected in the Company Media list. To upload a new video, follow these steps:
Click on the Settings icon on the top right of the page, then click on Site contents.
Select the Company Media list.
To add a new video, click on New. The following panel will appear. The Title field, which is marked with an asterisk, is mandatory.
Title: write the title of the video.
Description: you can add a description which summarizes the content of the video. The description will be shown under the release date.
Duration: enter the duration of the video.
For example, if the video lasts 20 seconds, you need to write 0,20 in this field.
Link: enter the link to the video, which is a YouTube link in this case.
Suggested: if you leave this blox flagged, the video will appear in the area of suggested videos, in the lower part of the application.
Release Date: enter the release date of the video. This date will be shown under the title of the video.
Source: select the source site of the video from the drop-down menu, which shows you the available options. Choose YouTube.
Once you have completed the panel, click on Save.

For example, if the video lasts 2:44 minutes, you need to write 2,44 in this field.
Link: enter the link to the video, which is a Vimeo link in this case.
Suggested: if you leave this blox flagged, the video will appear in the area of suggested videos, in the lower part of the application.
Release Date: enter the release date of the video. This date will be shown under the title of the video.
Source: select the source site of the video from the drop-down menu, which shows you the available options. Choose Vimeo.
Once you have completed the panel, click on Save.

Duration: enter the duration of the video.
For example, if the video lasts 1 hour and 6 minutes, you need to write 66 in this field.
Link: enter the link to the video.
Suggested: if you leave this blox flagged, the video will appear in the area of suggested videos, in the lower part of the application.
Release Date: enter the release date of the video. This date will be shown under the title of the video.
Source: select the source site of the video from the drop-down menu, which shows you the available options. In this case, choose Url.
Once you have completed the panel, click on Save.
To create the preview image URL, follow these steps:
Upload the picture to the Site Assets folder in the Site contents (or any other folder on your intranet).
In the Sites Assets document library, select the picture.
Click on the Info icon at the top right of the screen.
Click on the Path icon to copy the URL of the picture.
The Videos web part will look like this:
Click on the Edit properties button on the left of the web part to open the property pane, which has three sections: Layout settings, Data sources and General settings. Playback Settings, and Image Settings. See below for more information on each of these sections.
In the first field, select Company Media. This is the list where you will upload your videos (see ).
In the second field, select Company Media Tags. This is the list where you will create tags to categorize your videos (see ).
To the right of the icon, you can see the video categories, which correspond to tags. If you click on one category, e.g. Corporate news, the web part will display only the videos that belong to that catetegory. Below is a guide on how to .
On the right, you can find the list of the latest videos added to the Company Media list (see ).
In the lower part of the application there is an area of suggested videos. As will be explained in the section titled , when you add a new item to the Company Media list, you need to complete a panel with a number of fields, including a box called Suggested, which is flagged by default. If you leave this box flagged, the video will be included in the area of suggested videos.
As mentioned in the , you can share videos from three different sources: YouTube, Vimeo or your SharePoint intranet. These three options will be explained in detail in the following sections.
Too add a new video from YouTube, the first step is to open the Company Media list and click on New, as described in the . When you click on New, a panel appears. Complete it as follows:
Tag: select the tag you want to assign to your video from the drop-down menu. This menu shows you the tags you created previously (see ).
Preview Image Url: you can create a cover image for your video, upload it to your intranet and copy-paste the picture URL into this field (see ). This will be the preview image of the video.
Too add a new video from Vimeo, the first step is to open the Company Media list and click on New, as described in the section titled . When you click on New, a panel appears. Complete it as follows:

Besides YouTube videos and Vimeo videos, the Videos web part can display content uploaded to the SharePoint intranet. First of all, you need to upload the video to the Site Assets folder in the Site contents (or any other folder on your intranet). Then, open the Company Media list and click on New, as described in the section titled . When you click on New, a panel appears. Complete it as follows:
