Assign a course

This section explains how to schedule and assign a course to individuals or groups in your organization — ensuring they receive timely reminders to complete it.

How to Assign a Course

  1. Open the published course.

  2. Click “Actions” (top right).

  3. Select “Schedule”. This opens the scheduling panel where you can define the assignment details. You can assign the course:

    • To one or more individual users

    • To entire groups

Currently, you can select users and/or groups from Microsoft Entra ID (Azure groups).

Soon, it will also be possible to select custom groups managed directly through Microlearning's visibility groups. To access visibility groups: Go to Settings (gear icon) > General > Visibility groups.

  1. Fill in the Schedule Fields

    • Recipient: Choose users and/or groups.

    • Start date: Set when the course will become available.

    • Time: Choose when the first notification should be sent.

    • Time zone: Select the correct time zone.

    • Notifications: Choose to notify users via Email, Teams, or both.

    • Frequency: Define how often notifications are sent (e.g., every 2 days).

  2. Click "Save". The assignee's status will change to yellow "Draft".

  1. Edit or Delete the assignment:

  • Click the pencil icon to edit the schedule. The assigned users will return to the “Assignees” list and you’ll be able to change the details.

  • Click the bin icon to delete the assignment.

Editing or deleting a schedule

If you click the Edit button, the selected 'Recipient' will return to the editable form at the top of the screen. From there, you can adjust the course assignment settings, such as the start date, time, time zone, and attendance options.

  1. Click the “send” button next to the recipient and "Confirm" in the tab that opens. If you don’t, the course won’t be assigned.

Scheduling an assignment

  1. Once the "send" button is pressed, the assignee's status will change to Running.

  1. Click “Stop” to pause the schedule (status changes to Draft).


What Learners See

  • Learners receive push notifications in Teams (and/or email), reminding them to take the course.

  • Clicking “Open lesson” will take them directly to the course in SharePoint
