What is Pop-up

This web part helps you to promote your company's initiatives with content that automatically appears on the first intranet access. Users can click on the pop-up to access in-depth pages and learn all the details about the promoted content. You can create videos, images and carousels and feature them prominently for colleagues, who will be more involved in company initiatives.

Add a new pop-up to the SharePoint intranet

To create a new pop-up, take the following steps:

  • Click on the Settings icon on the top right of the page, then click on Site contents.

  • Scroll down and select the Popup list.

  • When you click on New, a panel appears with a number of fields to fill in. The fields marked with asterisks are the mandatory ones.

Pop-up information

  • Title: enter the title of the pop-up. The content of this field will not be seen.

  • Publication date: you can select a specific publication date. If you leave this field empty, the pop-up will be immediately visibile.

  • Expiry date: you can select a specific expiry date. After this date, the pop-up will no longer be shown. If you leave this field empty, the pop-up will always be displayed.

  • Daily sessions number: this is the number of times the user will see the pop-up in a daily session.

For example, if you write 2, each user will see the pop-up twice a day.

  • AD Groups: by filling in this field, you can target your content to specific audiences instead of making it visible to all users.

For example, you may want to reach only colleagues from the offices and departments involved in the promoted initiative.

  • Image link URL: in this field, you can enter the link to a page, a form or any other content that will be accessed by clicking on the pop-up. If you leave this field empty, the pop-up will not be clickable and will only have an illustrative function.

  • Video url: if your pop-up is a video, you need to copy and paste the video URL into this field.

This can be, for example, a Youtube video or a video you previously uploaded to your SharePoint intranet.

  • Video type: in this field, you need to select the correct video source from the list.

  • Attachments: if you want your pop-up to be a picture, you need to upload the picture from your computer and add it as an attachment. You can also upload multiple pictures, which will be displayed as a carousel.

  • Once you have completed the panel, click on Save.

Remeber that you cannot display more than one pop-up over the same period of time.

Pop-up also relies on another SharePoint list, called Popup users, which records pop-up visualizations by users. This ensures that Pop-up works with Viva Connections, i.e., the app which allows you to access the intranet via Teams. The Popup users list should be set up so that all visitors have contribute permissions. To learn how to configure this list, read the dedicated guide.
